Job Summary

The Onboarding Specialist is responsible for managing and executing the onboarding process for new hires across multiple locations, ensuring a seamless transition into the organization and compliance with all regulatory and company standards.

Rate: $24/hr

Essential Duties and Responsibilities

  • Oversee the onboarding process for new employees at all company locations including CPG facilities, dispensaries, regional offices, and a national call center. 
  • Ensure each phase of the onboarding process is executed efficiently and in accordance with company standards. 
  • Manage sensitive documentation related to new hires, ensuring confidentiality and compliance with legal and organizational requirements. 
  • Perform compliance checks and background verifications for all incoming staff. 
  • Work closely with the People Team, IT, security, business operations, and other relevant departments to ensure smooth onboarding. 
  • Address issues and coordinate solutions across departments to facilitate various aspects of the onboarding process. 
  • Serve as the primary point of contact for new hires, addressing their questions and concerns, and ensuring a welcoming onboarding experience. 
  • Communicate effectively with hiring managers and other stakeholders to keep all parties informed about the onboarding status and issues. 
  • Utilize HRIS systems, primarily SAP SuccessFactors, to maintain accurate employee records. 
  • Analyze onboarding data to assess the effectiveness of the onboarding process and identify areas for improvement. 
  • Recommend and implement improvements to the onboarding process based on data analysis and feedback from new hires and other stakeholders. 
  • Perform other duties as assigned by management. 
  • Occasional travel to various locations (<10%) 

Minimum Qualifications

  • High School Diploma or equivalent required. 
  • Minimum of 2 years' experience in administrative support or human resources, with specific experience in onboarding and documentation management. 
  • Preferred 3 years’ experience in administrative support, human resources, or medical credentialing with specific experience in onboarding and documentation management. 
  • Preferred proficiency in SAP SuccessFactors, Microsoft Office Suite including Outlook, Excel, SharePoint, and Power Automate, and other relevant HR technologies.
  • Proficiency in Microsoft Office Suite including Outlook, Excel, and SharePoint. 
  • Excellent verbal and written communication skills. 
  • High level of emotional intelligence and interpersonal skills. 
  • Strong organizational and coordination skills. 
  • Proven problem-solving abilities. 
  • Attention to detail and high level of accuracy. 
  • Ability to manage multiple tasks and priorities in a dynamic environment. 
  • Strong analytical skills with a focus on process improvement. 
  • Proactive in following up on tasks and ensuring timely resolution of issues. 
  • Demonstrates a high sense of urgency, with an ability to recognize and address critical issues promptly and efficiently.
