Temporary Onboarding Specialist

Job Summary
We’re looking for a detail-oriented and proactive Temporary Onboarding Specialist to support the People Team during a maternity leave coverage period. This role plays an essential part in ensuring a seamless onboarding experience for new hires by coordinating preboarding activities, managing documentation, and maintaining clear communication with candidates and hiring managers.
Compensation Data
Rate: $24/hr
Essential Duties and Responsibilities
- Perform data entry and data audits to maintain accurate onboarding and employee records.
- Clean up and organize digital and physical filing systems.
- Follow up with candidates to:
- Collect required documentation and ensure preboarding milestones are completed.
- Initiate HireRight background checks when not yet started.
- Complete DocuSign envelopes for new hire documentation if pending.
- Finalize preboarding tasks in the HRIS as needed.
- Confirm first available start date when no response has been received.
- Ensure all actions are completed promptly and in accordance with onboarding timelines.
- Coordinate start date logistics and confirmations with hiring managers.
- Send arrival confirmations and coordinate Day 1 logistics.
- Verify and process I-9 forms accurately and in compliance with federal requirements.
- Ensure security and access emails for all locations are sent daily or weekly.
- Add new hire badges to the Joint and maintain up-to-date records.
- Support general onboarding and badging operations as needed to ensure a smooth new hire experience.
Minimum Qualifications
- High School Diploma or equivalent required.
- 1–2 years of HR, onboarding, or administrative experience preferred.
- Strong attention to detail, organization, and follow-up skills.
- Proficiency in Microsoft 365 (Outlook, Excel, SharePoint, Teams).
- Excellent communication and customer service skills.
- Ability to manage confidential information with professionalism and discretion.
